ZenmuTech’s Policy on the Protection of Personal Information
ZenmuTech, Inc. (hereinafter referred to as the “Company”) recognizes that the protection of personal information that is handled through its primary operations as they relate to the business of providing an open security infrastructure known as “ZENMU” is a responsibility that is important to the Company. The Company accordingly enacts this Policy and shall thoroughly disseminate it to all employees and ensure its implementation.
The Company shall formulate a management system for the protection of personal information in order to protect personal information, ensure that all employees are aware of this system, and endeavor to maintain and improve this system to ensure the safety and reliability of personal information.
When collecting personal information, the Company will clearly inform the individual concerned of the intended uses, ensuring that all methods employed are legal and fair, and strictly necessary for those purposes. Where personal information is to be obtained directly and in writing from the person to whom the personal information in question relates, a written notice shall be prepared and the consent of the person to whom the personal information in question relates shall be obtained.
Personal information shall be used within the scope of the purposes of use for which the consent of the person to whom the personal information in question relates has been obtained.
The Company will implement measures to guarantee that personal information is used only for the specified purposes. Where use for any other purpose becomes necessary, the consent of the person to whom the personal information in question relates for such use shall be obtained except where permitted by law.
The Company shall use personal information for the following purposes:
Purposes of using customer information
- To provide information on seminars, exhibitions, and other events; information on products and services; and promotional material
- To conduct questionnaire surveys and perform analyses for the development of products and services
- To provide maintenance support
- To carry out commissioned work for limited campaigns (only to fulfill customer requests in accordance with agreements concluded with customers)
- To print and send direct mail
- To print and send lists of names
- To operate a website and manage members
Purposes of using applicant and employee information
- To maintain communications, provide information, and conduct employment screening
- To perform obligations as set forth in labor-related, tax-related, and social welfare-related laws and regulations, such as by communicating for operational purposes, exchanging information, managing attendance, paying salaries, conducting evaluations, administering a welfare program, promoting health and safety, and engaging in labor-management tasks
- To accept, perform, and manage different sets of procedures as set forth in the internal regulations
- To notify and report to government offices and any organizations with which the Company is affiliated
- To engage in emergency communication
There may be times when the Company outsources operations involving the handling of personal information within the scope of the purposes of use expressly indicated to the person to whom the personal information in question relates. Matters related to the handling of personal information shall be prescribed through a written agreement or by some other means to the outsourcee, and the outsourcee shall be subject to the necessary and appropriate supervision as concerns the safe management of personal information.
The Company shall not provide personal information handled by the Company to a third party except in any of the following cases:
・ The consent of the person to whom the personal information in question relates has been obtained.
・ The provision of personal information to a third party has been deemed necessary by law.
・ The provision of personal information to a third party is needed to protect the life, body, or property of a person and it is difficult to obtain the consent of the person to whom the personal information in question relates.
Contact the office in charge at the Company if you wish to disclose, correct, or suspend the use of (hereinafter referred to as “disclose or modify”) personal information. The Company shall respond without delay upon verifying that you are the person to whom the personal information in question relates.

In order to ensure the protection of personal information, the Company shall comply with laws and regulations concerning the protection of personal information and relevant guidelines and other norms and standards as set forth by the national government as well as with ordinances, norms, standards, and guidelines concerning the protection of personal information as set forth by administrative organs.
In order to ensure the accuracy and safety of personal information, the Company shall endeavor to implement information security measures and other safety measures to prevent the unauthorized accessing, loss, destruction, tampering, or leakage of personal information. At the same time, the Company shall put in place a system to preserve evidence and accommodate efforts to determine the cause of any accident that might occur. In the unlikely event of an accident, the Company will respond promptly and appropriately, take steps to prevent future occurrences, and make every effort to implement corrective actions.
If you wish to lodge a complaint against the Company or have any question or comment concerning our Policy on the Protection of Personal Information you wish to have addressed by the Company, submit a document on which your name, address, and return email address (if you are submitting your inquiry by email) and the contents of your inquiry are stated to the addressee set forth below by email or post. The Company shall use the personal information of anyone submitting an inquiry only for the purpose of facilitating a response by the Company.

The Company shall endeavor to continuously improve the management system for the protection of personal information through regular internal audits and reviews conducted by representatives of the Company.
This Policy on the Protection of Personal Information shall be made available to everyone inside and outside the Company on the Company’s official website (https://zenmutech.com) and, where necessary, shall also be made available through other media channels.
